Step 1 · Pick your function
Step 2 · Round up your documents
Your Brain is only as good as what you feed it. Find 3 to 5 of these and put them somewhere you can grab fast.
Three rules for what goes in:
- 1. No client data, no PII, ever. The Brain holds how you work, not who your customers are.
- 2. If a new hire would need it, it qualifies. If it lives only in your head, write one page of it down. That page counts.
- 3. Exports are fine. Claude does not connect to HubSpot in our setup, and it does not need to. Documents and exports carry the day.
Step 3 · Write your instructions
Fill in the blanks in your own words. Plain language wins. Nobody is grading this.
Your Project instructions
You are the Sales Brain for Holistiplan. Holistiplan is tax planning software for financial advisors, now expanding into the CPA and tax professional market. About us: [about us] My role: I work in Sales. My week is mostly [your top three activities]. Who we serve: [who we serve] How we sound: [three adjectives]. We never sound [one thing you refuse to sound like]. When drafting, match the voice of the writing samples I have uploaded. Data rules: Never ask for or include client PII. Work only from the exports and documents I provide. How to help me: Give me drafts I can edit, not finished products. Ask clarifying questions before long tasks. Flag anything you are unsure about instead of guessing. When numbers matter, show your math.
Step 4 · The same-prompt test
Run the exact same prompt twice: once in a plain chat with no Project, then inside your new Brain. The gap between the two outputs is the whole lesson.
Draft [a real deliverable from your week] for [the real audience]. Keep it under [length]. Use our voice.
Your starter prompt for this week
Run this inside your Brain this week and bring the output to office hours, good or bad. The bad ones teach us more.
Using our AE call scripts and follow-up frameworks, draft three follow-up emails for a firm that went quiet during their trial after the demo. Match our voice, keep each under 120 words, and vary the angle: value reminder, relevant resource, direct ask.
When you get stuck
Office hours, Tuesdays 1:30 to 2:00 PM MT. Drop in with anything. Half-built Brains, weird outputs, a prompt that will not behave. Stuck is the point of the room.
Bring your worst output to office hours. The misses teach the group more than any polished win.
